IT Systems Administrator

Job Description

The Hybrid IT Systems Administrator supports the organization’s technology environment, ensuring reliable systems, secure operations, and excellent staff support. This role is both hands-on and strategic balancing daily technical needs with long-term planning. Working closely with the Director of Technology, the IT Systems Administrator will make informed decisions, evaluate and recommend new technologies, and partner with leadership on initiatives that strengthen the organization’s infrastructure and security posture.


Key Responsibilities

Systems & Network Administration

  • Manage and secure the organization’s network, Wi-Fi, routers, and firewalls.
  • Administer physical security systems, including access control and cameras.
  • Manage Microsoft 365 services (SharePoint, Exchange Online, Entra ID), with a focus on SSO integrations (HubSpot, ClickUp, Dropbox).
  • Oversee Microsoft Endpoint Detection and Response (EDR) tools to improve security and reduce complexity.
  • Maintain standardized workstation configurations for staff.
  • Support technology planning and implementation for an upcoming office relocation.
  • Ensure strong email deliverability (DMARC/DKIM configuration).

Cybersecurity & Asset Management

  • Implement and monitor security protocols across all devices.
  • Deliver staff cybersecurity training and promote a strong security culture.
  • Track and manage all IT assets (hardware, peripherals, software).
  • Identify opportunities to optimize licensing costs and eliminate redundant tools.
  • Assist with developing and enforcing IT policies and SOPs.

Technical Support & Daily Operations

  • Provide on-site support for hardware, software, and network issues.
  • Support A/V technology in conference and huddle rooms.
  • Troubleshoot common issues (printers, ISP connectivity, etc.).
  • Support integrations between Microsoft 365 and business systems (e.g., HubSpot).

Documentation & Reporting

  • Maintain accurate documentation for systems, configurations, and procedures.
  • Produce performance, security, and asset reports for leadership review.

Training & Staff Enablement

  • Deliver IT onboarding for new staff.
  • Provide ongoing coaching to build digital confidence and reduce support needs.

Testing & Business Continuity

  • Conduct and test system backups and disaster recovery processes.
  • Apply updates and patches to ensure secure, healthy systems.

Strategic & Decision-Making Responsibilities

  • Evaluate technology needs and recommend solutions that improve efficiency and security.
  • Review technology proposals and assess costs, benefits, and long-term value.
  • Partner with the Director of Technology and organizational leadership on IT strategy, future planning, and major initiatives.
  • Make informed operational decisions that support organizational goals.

Required Skills & Experience

  • Proven experience as an IT Administrator or similar role.
  • 5+ years of experience 
  • Strong understanding of networking, system security, and best practices.
  • Advanced Microsoft 365 administration skills (SharePoint, Entra ID/Azure AD).
  • Familiarity with EDR platforms.
  • Excellent problem-solving and independent decision making ability.
  • Strong communication skills and a service-oriented mindset.
  • Certifications preferred:
    • MCSE or Microsoft 365 Certified: Administrator Expert
    • CompTIA Network+
  • Ability to travel up to two weeks per year.
