Executive Assistant This role serves as a strategic administrative partner to the President/CEO, delivering high-level clerical and organizational support essential to the company’s day-to-day and long-term operations. The position is responsible for coordinating schedules, managing communications, and researching, compiling, and occasionally analyzing information to support executive decision-making.Acting as a central point of coordination, this individual collaborates with department heads, managers, staff, and customers to facilitate seamless information flow, resolve inquiries, and support business initiatives. The role requires a high degree of independence, discretion, and sound judgment, with supervision provided as needed.Essential Duties and Responsibilities
Support recruitment efforts for exempt and non-exempt personnel (excluding management-level roles), including coordination of temporary staffing resources
Participate in administrative staff meetings as well as external seminars and professional development opportunities
Maintain and update company organizational charts and employee directories
Oversee and coordinate support services such as maintenance, repairs, supply replenishment, and mail/file systems
Prepare, compose, and manage routine correspondence while ensuring accurate and organized recordkeeping
Serve as recording secretary for staff and committee meetings;document, prepare, and distribute meeting minutes in a timely manner
Provide comprehensive administrative support, including data entry, document formatting, workflow organization, and communication management
Directly support the President/CEO with a broad range of clerical, secretarial, and administrative functions
Coordinate company-wide meetings, conferences, and travel arrangements with a high level of efficiency and attention to detail
Track and document corporate credit card expenses in accordance with company policies
Take initiative in managing both ongoing and special projects, working independently and collaboratively as needed
Lead special projects at the President’s request, such as organizing corporate events, coordinating presentations, managing communications, and overseeing direct mail initiatives
Perform additional duties and special assignments as needed to support organizational success
Education, and Experience
Associate’s or bachelor’s degree in business or a related field preferred (or equivalent experience)
Minimum of 4–5 years of relevant administrative or executive support experience
Intermediate to advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
